What are the key differences in automation limits between ClickUp and Monday

The main difference is that ClickUp includes automation on its free plan and measures usage mainly through workspace-level automation actions, while Monday.com starts automation on the Standard plan and separates automation actions from integration actions.

ClickUp’s limits come from its official automation documentation. Its action quota resets on the first day of each month in Pacific Time.

Monday.com’s standard automation and integration allowances are documented separately: Standard includes 250 actions for each category, Pro includes 25,000 for each, and Enterprise includes 250,000 for each.

How the Counting Works

ClickUp

ClickUp counts automation executions against a monthly Actions allowance. Its limits are applied at the workspace level, not individually per user. For example, when an automation runs and performs an action such as changing a status, assigning a task, or creating a task, that execution consumes part of the workspace quota.

A single ClickUp automation can contain:

  • One trigger.
  • Up to 15 conditions on Business and higher plans.
  • Up to 6 actions.

ClickUp allows five active automations on Free Forever, 500 on Unlimited, and unlimited active automations on Business and higher plans. However, the number of automation rules you create and the number of times those rules run are separate limits.

Monday.com

Monday.com also counts automation executions as actions, but a single automation may consume multiple actions depending on what it does.

For example, creating an item and mapping several columns can use multiple actions. Sending notifications to multiple subscribers may also consume one action per recipient. Consequently, 250 available actions may be used much faster than expected in a busy workflow.

Monday.com also has a separate monthly allowance for integrations. An automation that updates an item internally uses automation actions, while an integration that sends or receives information from another application uses integration actions.

What Happens When You Reach the Limit?

The behavior is different.

ClickUp

When a ClickUp workspace exceeds its monthly automation limit, its automations are paused for the remainder of that month. Owners and admins receive usage alerts when automation usage reaches 90% and 100%.

Monday.com

When a Monday.com account reaches its action limit, it is blocked from editing or adding new automations and integrations. On the Standard plan, usage above the monthly allocation can reduce the following month’s allowance. For example, if an account uses 280 automation actions against a 250-action allocation, the next month may begin with only 220 available automation actions.

This rollover deduction is an important limitation because excessive usage can affect the next billing cycle rather than only stopping automation during the current month.

Practical Difference

Consider a workflow that runs 20 times per day.

If each run consumes one action:

  • Monthly usage is approximately 20 \times 30 = 600 actions.
  • ClickUp Free would not be sufficient because it includes 100 actions per month.
  • ClickUp Unlimited, with 1,000 actions, could support it.
  • Monday.com Standard, with 250 automation actions, would not support it comfortably.
  • Monday.com Pro, with 25,000 automation actions, would provide substantial capacity.

However, if the Monday.com workflow creates an item, maps multiple columns, sends notifications, and updates another board, one trigger could consume several actions. Monday.com’s actual usage could therefore be much higher than the number of workflow runs.

Integrations Make Monday.com More Complex

Monday.com separates:

  • Automation actions.
  • Integration actions.

This distinction matters for workflows involving Gmail, Outlook, Slack, CRM systems, cloud storage, or other external applications. A business may have plenty of automation actions remaining but exhaust its integration allowance.

Monday.com specifically recommends the Standard plan for occasional simple automations and integrations, while Pro is more suitable for daily use and complex workflows. Enterprise is intended for multiple workflows, departments, and frequent two-way synchronization.

ClickUp’s documentation presents automation actions as a broader workspace automation quota. On Business and higher plans, ClickUp also makes task webhooks, automation integrations, and chat webhooks available, whereas those features are not available on Free and Unlimited plans.

Which Has Better Automation Limits?

ClickUp is better for low-cost testing

ClickUp has the advantage if you want to experiment with automations without immediately purchasing a paid plan. Its Free Forever plan provides five active automations and 100 monthly actions.

This is suitable for simple personal workflows, such as:

  • Creating recurring tasks.
  • Assigning work when a task is added.
  • Changing a status after a checklist is completed.
  • Sending limited internal reminders.

Monday.com is better for high-volume paid automation

Monday.com’s Standard plan is restrictive at 250 automation actions per month, but its Pro plan increases the allowance dramatically to 25,000 automation actions. This makes Pro more suitable for teams running automation daily.

Monday.com may be the better option when you are willing to pay for Pro or Enterprise and need many routine workflows, especially if your processes are visually organized across boards.
